This browse contains descriptions of the products and services you provide. Every time you enter a Purchase Order Sales order, RFQ, or forms management count or release, you select one or more records from this file to indicate what you are buying, selling, quoting on, counting, or delivering. Each record contains inventory, sales, warehousing, forms specification, and usage totals for each product or service.
By the way, for convenience, products and services are sometimes referred to simply as forms since for many of you, forms comprise the majority of items you buy and sell.
Why can’t I delete a product?
You may not delete records for which any type of transactions (Sales Orders, Forms Management Counts & Releases, RFQs, or Purchase Orders) have been entered or which have On Hand or On Order quantities. To delete a product, you must delete (or void) any transactions which use that Product ID.
You can, however, use the Edit IDs function to change one ID to another.
Products with a complete printer specification. Products with a spec are indicated in the left hand column of the browse with a little printer icon:
Product Specifications can be custom tailored to your business using our Forms Design Service. This allows you to have separate data entry screens for specs and purchase orders and RFQs for the various products you sell, including:
- Ad specialties
- Labels
- Cut Sheets
- Business Cards
- Office products and computer accessories
- Services such as consulting fees and warehousing fees
- Miscellaneous charges unrelated to inventory.

The Products Browse has its own toolbar which contains the following buttons:

This button links the product to various Sites . If you have assigned this record to a customer, you can further specify that this product or service is linked to a specific Site (shipping address). This field serves as that link. The shipping address will then print on reports in the Forms Management Customer Forms Catalog. A field lookup button is available to select existing sites or to create new addresses for the selected customer.
Simple Accounting tracks usage inventory based on each linked site!

This button lets you create or edit a Request for Vendor Quote for the highlighted product. If there are previous RFQs on file for this product, then the new RFQ is a clone of the most recent RFQ.
However: If the most recent RFQ is currently unprinted, or printed but not yet accepted, then a new RFQ is not created and you will be brought to that RFQ for editing/printing/accepting. |

This button displays all Sales Order Line History for the selected Product. You can press [View] on any line in this browse to view or edit the Sales Order it is a part of.
This is a great way to look up prior orders and take repeat orders using the Clone button! |

Add or edit the Printer Specifications for this product. If a product already has a spec, you will see that the Spec field is checked in the products data entry window (and in the Specs column of the Products Browse.)
A product with specs prints on one type of Purchase Order and RFQ and items without a spec print on another generic form. The Spec P.O. and RFQ print one item and its specs per page, while the Distributor P.O. prints multiple products per page. |
One Other Button…
The browse also contains the following button located at the bottom of the screen:
| [Print] | This button prints a number of reports summarizing your products, as well as Carton Labels.
Carton Labels may be formatted to your specification using our Forms Design Service. |
