Product History Audit Trail

This browse displays an complete audit trail of all activity involving a particular Product or group of Products. Like the Sales Order Line Item History, A/P Line Item History, and G/L Audit Trail windows, a Product History Audit Trail Browse may be opened from several location in Simple Accounting and the information you see in the browse depends upon where you opened it as follows:

Inventory Main Menu Opening the Audit Trail from the Simple Accounting Inventory Main Menu lets you view all Product History for all Products in record order; ie. the order in which they were entered into Simple Accounting, regardless of their Product. This allows you to locate a particular record by it’s unique Record ID.

From this window you can also use a Query Window to select which records to view or report on.

This type of Query is often useful to create reports detailing activity for all products over a range of dates.

Products Browse  IMG00148.gif The Audit Trail is also available when you press the [Audit Trail] button from the Products Browse. In this case, you see activity limited to the selected Product. Records in this view are displayed in chronological order, with the most recent activity at the bottom.
Linked Site  IMG00149.gif The Audit Trail is also available when you press the [Audit Trail] button from the Linked Sites from the Products Browse. In this case, you see activity limited to the selected Product at one particular Site. Records in this view are displayed in chronological order, with the most recent activity at the bottom.

Special Buttons & Keystrokes

[View] Recalls the source transaction for viewing, or editing (depending on the source transaction’s status):

[Delete] Normally, this button is disabled (‘grayed out’). Which means that in order to affect the Audit Trail, you must edit the source transaction (such as the Sales Order or Purchase Order.) However if the entry in the audit trail is damaged, or part of a voided transaction, you can delete the line in order to correct the product’s history.
[Print] Print a report of the transactions listed in the window.

 If the Audit Trail was opened from the Products Browse, you are prompted to limit the report to a single Site.

IMG00150.gif Mouse Right Click Right clicking on any record allows the user to view and/or modify the Ship To and Ship From Addresses of the source transaction. This is important because it allows you to make a common correction to transactions such as invoiced Sales Orders or received Purchase Orders which can no longer be edited.
[Calculate Usage] This button calls the Calculate Usage process to recalculate usage and inventory quantities for the selected Product.

Totals

If called from the Products Browse, three totals appear at the bottom of the Audit Trail Browse. From left to right:

  • Total Records: The number of entries in the Audit Trail for the selected Product.
  • Shipped/Counted: The total quantity (in the Inventoried Unit of Measure) shipped out over time.
  • Received: The total quantity (in the Inventoried Unit of Measure) received in over time.

 Both the quantity Shipped and the quantity received are totals of all records at all locations. For information on inventory activity for a particular Site, you can click on the Linked Sites button in the Products Browse.
