Product Specifications

IMG00129.gif Each product may have a complete set of printing specifications linked to it which print on RFQs and Vendor Purchase Orders. These specs vary depending upon the Product Type. You edit the specs for a Product by pressing the [Specs] button at the top right of the Products Browse.

The specs below are used with Continuous, Snapout, Flat Sheet and Check forms. However, several other types of specs are supported, including Advertising Specialties, Binders, Envelopes and Labels.

IMG00130.gif Many Products should not have a printing spec! For example, if you frequently order forms from a vendor’s catalog which are standardized, you probably do not need to enter a spec. Since each PO can have it’s own special instructions, you can usually enter any particulars you need there rather than taking the time to enter specs! Also, when you enter a spec for a product, you are telling Simple Accounting to print a spec sheet for it every time you print a Purchase Order or Request for Quote. This means that if you have several lines on a Purchase Order (for example), each line will have print it’s own spec sheet on a separate page. Products which do not have a spec, will be grouped together on a single sheet.

By default, these print on the vendor P.O. and RFQ as they appear in the data entry window. This can be customized to fit your business needs.

 

WARNING! You should be always be extremely careful about changing the Spec Style of a particular Product. Usually this happens by changing the Product Type of a Product which inadvertently changes the Spec Style. Here’s the potential problem:

You begin by entering a Product and assigning it to a Product Type which uses a Continuous Form, such as a check. You enter two plys for the form into the specs. Later, you realize that you selected an incorrect Product Type for the Product and change it. Unfortunately, you failed to notice that the new Product Type you selected uses a different Spec Style (Books) which does not support multiple plys. You only notice this because you go back to the Spec to make a tiny change to a backer ink and see the Specs for Books/Binders. Oops! You have just sent the original specs you entered off into oblivion.

 

 Always check the Spec Style of the Product Type you select before you change Product Types!
