Viewing Product Site Totals

IMG00138.gifIMG00139.gif This window displays the activity and status of a Product at a single Site. I It is accessed by clicking the [View] buttonm within the Linked Product Sites Browse. Most of these fields may not be edited; they are automatically updated as you use Simple Accounting.

If the product is only stored at one site, this information may be largely identical to View Product Totals Window, however if you manage a product at multiple Sites, this allow you to break down usage, sales, purchase and inventory information by each location.

 You can also view the totals for a Product at all sites from the Products Browse by right clicking on any the Product and selecting View Totals.

 

SHIP VIA                   

This field lets you specify a default Ship Via for shipments of a particular Product from this Site. So if you select a Product ID If you leave this blank, the Ship Via for a Sales Order Line Item defaults to the value set in the Customer Master.

 

FMS?                        

Indicates whether or not this form is part of your forms management system.

This field is strictly for sorting purposes only and does not affect inventory or usage calculations at all.

 

CURRENT STATUS        

Indicates if the product is in active use. Valid codes are:

V Void. The product has been written off to a zero value, usually due to damage or theft.

 

LAST TRANSACTION    

This is the date of the last transaction (of any kind), such as an invoice or purchase order, where this Product ID was used.

 

TYPE 

The last type of Transaction entered using this Product ID.

 S Sales Order

 P Purchase Order

 C F/M Count

 R F/M Release

 W F/M Write-Off or Adjustment

This field contains various indicators concerning the ordering status of each product. It is automatically updated every time you Calculate Usage. There may be up to eight   codes displayed at any given time:

This product is Customer or Distributor owned and is now Depleted. Reorder now!

Usage is calculated by taking counts and the current On Site quantity is greater than that of the last period, but there have been no releases. Usually this means that an incorrect count has been entered.

This item is due for reordering based on the number of days you entered to automatically trigger a reorder after the last order.

This item is due for reordering because it’s On Hand Quantity has dropped below the specified Minimum Reorder Quantity.

This item is due for reordering because it’s On Hand and On Site Quantities have dropped below the specified Months To Keep On Hand.

The product has had no usage in the current month.

This product is currently On Order.

 

 

IMPORTANT DATES AND THEIR QUANTITIES

LAST SALE                   

This is date indicates the last sale or release of this item.

 

LAST PURCHASE           

This is the date that this product was last purchased.

 

FIRST COUNTED          

The first date when the Product was counted. This date may not be from an F/M Count! If the first transaction was a purchase order to establish an opening balance, then that date would be the FIRST COUNT DATE.

 

LAST COUNTED            

The date of the last count taken if this form is a part of a Forms management account.

 

LAST RELEASED            

The date of the last release (delivery) if this form is a part of a Forms management account.

 

LAST REORDER NOTICE

The date of the last reorder notice printing for this product. This allows you to avoid re-printing re-order notices over and over for the same customers.

 

LAST ORDERED            

The last date this item was ordered on a Purchase Order.

 

LAST RECEIVED           

The date this item was last received in on a Purchase Order.

 

 

USAGE ESTIMATES

All usage estimates are calculated based on 365 days of past usage. However, you may change the number of days used to determine this average in Security Extensions under the Custom Settings menu.

MONTHLY AVG. USAGE  

The average usage for this Product at this Site based on the product’s purchases, sales, and releases at all sites.

 

REVIEW DATE             

The estimated date when the product’s On Hand quantity will fall below the reorder level at this Site, based on usage history. This field is only updated if the product is either Customer or Distributor Owned.

 

MONTHS ON HAND       

The number of months of available quantity remaining at this Site based on the Monthly Average Usage.

 

DEPLETED BY              

The anticipated date when the On Hand quantity of the product will be exhausted based on previous counts taken.

 

CURRENT VALUES

 

@ CURRENT COST      

The total cost value of the Product based on the currently available quantities at all Sites.

 

PER UNIT                   

The average per unit cost of the item based on available On Hand Quantities at all Sites.

 

@ CURRENT PRICE     

The total value of the Product as a function of the current sale price based on the currently available quantities at all Sites.

 

PER UNIT                    

The average per unit price of the item based on all available On Hand Quantities at all Sites.

Bear in mind that this is not customer specific. If the product is sold to more than one customer, this is the average value based on quantities available for all customers.

 

QUANTITIES

 

ON HAND                         

The quantity of items currently available at this Site (if this is a Distributor or Customer Owned item.) Otherwise, this field will always be zero.

Customer Owned products are increased through receipt of goods in A/P Purchase Orders, but decreased by entering a release in INVENTORY|Counts & Releases.

 

COMMITTED                     

The quantity of this item already assigned to open orders awaiting invoicing. This is derived from open Purchase Orders, whether they are generated from Sales Orders or from the Purchase Order browse.

 

ON ORDER                      

The quantity of this item currently on order for this location.

 

The following fields are displayed for reference only. Complete explanations may be found in Edit Products & Services. Products may be edited from the Products Browse by selecting a Product and then pressing [Change].

PURCHASES

 

MTD                              

The total cost of goods from Invoices assigned with this Product ID since the last Month-end Close.

 

YTD                                 

The total cost of goods from Invoices assigned with to this Product ID since the last Year-end Close.

 

LAST YEAR 

The total cost from this Product ID for the prior year.

 

BUDGET                       

The total cost  budgeted for this Product ID over the current fiscal year.

 

SALES

 

MTD                            

The total sales of goods from Invoices assigned with this Product ID since the last Month-end Close.

 

YTD                                 

The total sales of goods from Invoices assigned with to this Product ID since the last Year-end Close.

 

LAST YEAR                       

The total sales from this Product ID for the prior year.

 

BUDGET                          

Enter the annual dollars budgeted by the customer for purchase of this form. This amount can be then be compared with actual usage on forms management reports.

 

USAGE TOTALS

 

MTD                               

The number of units used since the last Month-end Close.

 

YTD                                

The total number of units used since the last Year-end Close.

 

12 MONTHS                     

The total number of units used in the prior year.

 

BUDGET                          

The total amount of usage budgeted for this product over the current fiscal year.

 

 

 

Monthly Usage Tabs

The fields in these two tabs store the total monthly usage for the product at this Site for both the current year and the previous year.

If the product is linked to a Customer ID, then these fields refer to the customer’s Fiscal Calendar set in the Customer Master.

Example: Your customer’s financial year begins on July 1. You enter the number (7) in the Starting Fiscal Period for that customer. In that case, Period #1 refers to ‘July’, Period #2 refers to ‘August’, and so on.
