Accounts Payable & Check Register

This section of Simple Accounting is concerned with paying bills and managing your checkbooks. All functions relating to these topics are accessed from the A/P and Check Book Main Menus. The following gives you an overview of the main screens and reports you will encounter and which tool to choose to get your A/P and check book management functions accomplished.

Common Functions

There are two main browse windows which you will use to do the vast majority of this work. Both may be accessed from the Main Menu Toolbar.

IMG00174.gif Vendor Master This browse contains all your account Vendors. Here you can easily:

  • View Totals for a selected vendor
  • Print a number of reports, including Master List, Totals, and A/P Aging.

IMG00175.gif Bills (Vendor Invoices) Here are stored all A/P Invoices and Credits, either entered manually or automatically posted from Sales Orders or Purchase Orders.

  • This is also the place you go to select Bills for payment and to Print A/P Checks.
  • It is also used to Print A/P Reports of purchases and bills paid.

IMG00176.gif Check Register A list of all entries affecting each of your bank accounts, including entries automatically entered by:

  • Printing A/P Checks
  • Making Deposits from Customer Payments

…and entries you make manually for the purposes of payroll.

You also use this browse in order to perform the following important functions:

  • Reconcile a check book by pressing the [Balance] button in the check register. This also allows you to automatically enter interest gained and service charges.
  • Void a check or a deposit.
  • Re-print Checks

Other Related Functions

LINE ITEM HISTORY You can easily look up a particular expense account using the Line Item History function. This browse can also be called from the Vendors Browse to easily limit viewing to a particular vendor.
RECURRING BILLS You can also set up Recurring Vendor Invoices to automate paying bills which happen periodically. When you start Simple Accounting, you can be prompted to create these bills (when they are due) using the Business Reminders browse.
CASH REQUIREMENTS The Cash Requirements Report lets you predict how much you will need to pay out over the next two months in seven day increments.
