Editing Contact Mailing Lists

You may also assign a Contact to one or more Mailing Lists while editing the Contact.

 

Fields

DESCRIPTION A forty character description of the list.

NOTES A Note Taker field that lets you enter free text to describe your work with this list.

 

The following fields are non-editing:

FILTER The Query expression used to build this list.

 

LAST MAILING The last date when labels or envelopes were printed from this list.

 

LAST BUILTt The last date when this list was built from the Query WindowBrowseQueries

 

 

Linked Contacts Browse

This browse box lets you assign contacts to this list using the familiar record-editing buttons. After you assign a contact, you can designate whether or not it is an Active or Inactive member of this list. When you print lists and labels you can then choose to print only Active or Inactive members. This makes it easy to leave one or two contacts out of a mailing if necessary without removing them from the list.

SPECIAL COLUMNS

TOTAL NUMBER OF The total number of contacts assigned to this list.

MEMBERS

 

NUMBER OF The number of active contacts assigned to this list. These are displayed in green on

ACTIVE MEMBERS the browse box

 

NUMBER OF The number of active contacts assigned to this list. These are displayed in brown on

INACTIVE MEMBERS the browse box

 

[Rebuild]  Pressing this button opens a Query Window where you can automatically specify which records to be included on the list as.

 

Procedure For Rebuilding A Mailing List

You can easily assign or unassign individual Contacts to the Mailing List. However it is often desirable to be able to quickly build a mailing list for all Contacts which share similar attributes. Here is how it is done.

1. Open the Mailing Lists Browse from the Contacts Main Menu and select your Mailing List.

2. Press [Rebuild]. A Build Mailing List Window opens.

3. Enter your Query. This will determine which records will appear in the mailing list and in which order they will appear. Press [Proceed] to continue.

4. The Rebuild Mailing List Query Window opens with the list of Contacts which would be entered into the list. If you wish to delete any pre-existing members of the list, check the Delete Existing Members box.

Leaving this box unchecked adds the Contacts found in the Query to the existing members.

5.  Press [Proceed] to actually build the list.
