A Script is a data file that holds the complete text of a letter or script to be used in direct mail or telemarketing. Access this browse box by selecting Scripts under the Contacts Main Menu.
Applications
Scripts have several uses in Simple Accounting:
LINKING SCRIPTS WITH ACTIVITY TYPES
You can link any script you create with an Activity Type. When you do this, any time you create a new activity with this Activity Type, the Script’s text is automatically pasted into the activity’s Note Taker. This can be used to create automatic response letters, e-mails or faxes which will always need to contain the same body text.
VIEWING SCRIPTS WHILE TELEMARKETING
It is handy to leave the Scripts browse open but minimized, along with your Contacts Browse. As you select Contacts to call on, you can easily maximize the Script for immediate review.
>REORDER NOTICES
Scripts are also used to hold the text of Reorder Notices. You can use these when talking to customers on the phone, or you can use them to save often-used pieces of text for pasting into activities and form letters.
COPYING AND PASTING TEXT TO ANOTHER NOTETAKER
When the scripts browse is on screen, you can drag & drop the entire contents of the script to another notetaker. For example,. you might have a script for responding to a request for information. You could have a contact activity in one window to send this response to a customer, with the scripts browse open in another and then drag the text of the script to the activity and fax it off.
Also, at any time while the script editing window is on-screen, you can use the standard Clipboard commands to copy <Ctrl/C> and paste <Ctrl/V> text to/from another notetaker, or another Windows application. This can be handy for moving text from a script into a form letter using your word processor.
Fields
NAME | The descriptive name of this script. This name can be changed at any time, but you may not have duplicate names. |
EXTERNAL DOCUMENT | Enter the path to an external file that contains the text for this script. This file can be in any format you like. When you create an activity using this Activity Type, the file will be opened by its own application.
You create a follow-up letter for use with prospects in Microsoft Word® and type the file name for the letter in this field. The next time you need to send a follow-up letter, you insert a new activity for the prospect with your new Activity Type. This launches Microsoft Word with your document already loaded and ready to print. |
TEXT | Use the expanded Note Taker window to type in your text. You can re-size this window to taste. |
The window size is saved between sessions for each user.
