You can send any print job from this Simple Accounting to another fax machine if your computer, or network, has a properly configured fax modem. Good quality, low-cost fax modems are widely available from many sources, including Suntower Systems.
An even better solution is to set up a fax server computer which can automatically process faxes over a single phone line for many users on your network. Currently, there are several fax server packages on the market which are compatible with Simple Accounting.
How It Works
Faxes are not actually sent directly from Simple Accounting to the faxmodem. The report is instead handed off to specialized faxing software that Windows knows about. We support two such programs; Symantecs WinFAX® or the fax portion of Microsoft Exchange®, which is bundled with Windows. Usually one or the other is pre-installed with your computer and modem. In any case, Simple Accounting simply sends the report, along with some important information (like the fax number!) to whichever of these programs is available and then Windows does the rest. So if your modem is not installed correctly, or your faxing software isnt installed properly, you will not be able to fax from Simple Accounting (or any other program, more than likely.)
MULTIPLE DESTINATIONS
If you are printing forms that have several destinations, these are handled automatically by Simple Accounting. For example, if you are sending out RFQs to three vendors, then Simple Accounting generates three reports, and automatically tells your faxing software that there are three faxes to three separate destinations (as you would expect!); one to each vendor. The header, fax number and header information for each fax is taken from each vendors record in the Vendor Master. But again, remember these are three separate jobs that are being sent to the faxing program.
Once a job is sent to the faxing program it is up to that program to dial the number, connect, transfer the information and hang up. If you want to cancel or reschedule the fax job for any reason youll need to do it in the faxing program and not in Simple Accounting.
Faxed forms print at the recipients fax machine looking very much like hard copy reports. Cover sheets are handled by the faxing software, but your logo and company header will print at the top of each form even if you have not enabled PRINT COMPANY NAME & ADDRESS in Setup Global Options. Therefore, you should select your COMPANY LOGO FILE even if you will be using pre-printed forms for hard copy.
By default, all faxes (except for Contact Activities) are sent to your fax software for immediate transmission when you print the report or form. You can delay this send to any fixed time using Simple Accounting Security Extensions. This lets you send out faxes after hours when the fax can be dedicated to sends and phone rates are less expensive.
