There is no fixed limit on the amount of information you can store with Simple Accounting. However, you will want to know how much disk space you will need when using this program. You can estimate this requirement by determining the five following numbers:
- The number of customers you have
- The number of vendors you use
- The number of types of forms (both Distributor and Custom orders) you sell
- The number of invoices you will generate per year
- The length of time you wish to maintain on-line sales history (set in Setup|Global Options).
The following data files will use over 80% of the total disk space requirements for this program. By multiplying the size of each type of record by the numbers you determined above, you can then predict the amount of storage space you will need.
FILE SIZE PER RECORD (IN BYTES)
Customer Main Data File 550
Vendor Main Data File 450
Product Main Data File 400
Sales Orders 650
200 customers 110,000
50 vendors 22,500
100 different types of products 40,000
100 invoices per week 3,380,000
---------------
3,552,500
SAFE software 1600,000
Other Main Data Files 60,000
===========
TOTAL DISK SPACE REQUIREMENTS 5,073,500
In the second year of operation, this figure would remain stable because we have decided to only maintain one year of on-line history. If you wish to maintain more on-line history, say for a second year, you need to add on the requirements for more invoice history. In this example, that would require an additional 3.4 megabytes of disk space.
The more on-line history you wish to maintain, the slower your hard disk will tend to respond, thus the slower the program will operate. Normally this loss of speed is very minor, but it should be a consideration if you plan to maintain a large amount of data on-line. Refer to the Computer Tips section for more information on optimizing the performance of this program and your hard disk.
