Activity Types
The Activity Type allows you to group your Activities together which have similar characteristics. You access this file from the Files or Contacts Main Menu.
Each Activity Type consists of an eight character ID as well as a full description. When beginning the software with Demo Data, you will see five pre-defined IDs:

These IDs may not be changed, or deleted from the system as they have pre-defined meanings for Simple Accounting. For example, ifyou automatically log a phone call while using the AutoDialer, the activity type will automatically be ‘PHONE’.
Fields
DESCRIPTION |
A description of this activity type. This name can be changed at any time, however, you may not change the name for one of the pre-defined codes.

ID |
An eight-character code must be assigned to a new Activity Type. This can be composed of any alphanumeric characters. Once assigned, you cannot change the ID.

LENGTH IN MINUTES |
When entering a new activity the STARTING TIME defaults to the current time. The ENDING time will default to the STARTING time plus the number of minutes you enter here. For example, if you regularly schedule appointments by the hour you should enter ’60’ here. Entering ‘0’ will make the default END TIME the same as the default START TIME.

FOLLOW UP IN XX DAYS? |
Enter the number of days to follow up after an activity occurs or leave blank for no follow up. When you save the activity you can automatically post the follow up into your calendar for the follow up date.

Will this activity automatically be marked as completed?

PHONE CALL? |
Check this box if the Activity involves a phone call.

MAILING? |
Check this box if the Activity involves a phone call.

FAX? |
Check this box if the Activity involves a phone call.

SCRIPT |
If you select a Script from the list box, activities created with thisActivity Type will automatically contain the text of the script. Leave this field blank to bypass this feature. You could create a Thank You For Your Order!‘ Script. Then create an Activity Type called ‘Thank You’. After that, any time you are in the Contacts browse and need to send this type of note, simply <Ins>ert an activity for the Contact and select ‘Thank You’ as the Activity Type. This will automatically format a reply to the contact with your script which you can print or fax to them.
