Linked Document Automatic Scan

Linking one at a time is easy with DocXtensions. However, if you have a large number of documents which have already been scanned into your computer but not linked into Simple Accounting, this function will automatically scan the master Linked Documents Folder and attempt to find these unlinked files and link them to the appropriate transactions.

Procedure

The scan begins by creating a queue of potential files. These consist of the file types you have specified in Global Options. Please be patient as this can take several minutes depending on the number of files to be searched.

Next, a browse window appears with the candidates. Use the Tag buttons to select the items you wish to link. Note that Simple Accounting will automatically assign each document to a transaction based on the rules you specify in Global Options.

When you are satisfied with your selections, the press the [Proceed] button.

Options

Folder Select the folder to be scanned. This defaults to the last folder scanned.
Attempt To Exclude Already Linked Files Check this box if you wish the scan to omit documents which appear to be already linked to a transaction.

This option is not 100% reliable. If a user has moved or deleted a file outside of Simple Accounting, the scan may mistakenly still consider it linked.

Scan Subdirectories Check this box to search folders within the selected Folder above. This can save quite a bit of time over scanning folders ‘one at a time’.

We strongly recommend you do not select this option until you get the hang of using this function. It is far less error-prone to scan one folder at a time when first using this this function as you can easily end up with a browse of hundreds of documents to validate.
