Linking Products And Sites

IMG00134.gifIMG00135.gif A product can be assigned to as many warehouses as you like. Now a warehouse in Simple Accounting is nothing more or less than a Site or Shipping Address. This is a very important concept to understand right at the start because it implies the following:

A Site (Shipping Address) is simply a place where products go to or come from. Therefore a Site can be:

  • A Customer Site

  • A Vendor Warehouse

  • One of Your Warehouses

  • A Third Party Storage Location

You view and edit the Sites linked to a Product from this by clicking on the Linked Sites button at the top of the Products Browse Toolbar.

 

Many transactions in Simple Accounting involve moving product from one Site to another. For example, on a Sales Order, selling a customer owned item, moves product from the source Ship From (your warehouse, or a vendor’s warehouse) to a Ship To at your customer’s site (or perhaps to another vendor’s Ship To for off-line storage or further processing.)

 

IMG00136.gifA product must be linked to every site it ships from and to in order to track inventory and usage.

 

Special Keystrokes

IMG00137.gif Right clicking on this browse displays a menu which allows you to hide any Customer Sites linked to the Product (in other words, only displaying Vendor Sites and your own internal Sites where the product may be stored). This can be very useful when checking available stock.

 

Special Buttons

Sites

View the Sites the selected Product is linked with.

Totals

View the overall totals for this Product.

 

View

View the Inventory and Usage Totals for this Product/Site.

 

Audit

View the Inventory Audit Trail for this Product at this Site.

 

Period Usage

View the month by month Usage Totals of the selected Product.

Print

Print reports for this Product and Site, including a list of Products linked to the Site or a list of Sites linked to the currently selected Product.

 

 

Linking Products To Sites

There are three ways to link a product to a site. Automatic, Manual and Entry.

Automatic

Checking the Site Auto Link box while Editing a Product Master tells Simple Accounting to automatically create these links to each Site you buy from or release to as these transactions are entered. This makes it easy to set up your Products and begin processing.

Manual 

 

You can also link a product to a Site manually by clicking on the clicking on the Linked Sites button at the top of the Products Browse Toolbar. then pressing the [Insert] button to add a new Linked Site. This is necessary if you wish to build the necessary storage locations for a Product before you begin entering transactions.

Entry

After entering a new product which is either Distributor or Customer Owned, you are prompted to automatically enter a Default Site and Starting balance.

 

 You may wish to begin using Simple Accounting with all your products having Site Auto Link checked. But after a while, you may wish to disable this box. This prevents you from accidentally Shipping To or From incorrect locations.
