Recurring Activities

Many activities happen on a regular basis, so Simple Accounting lets you easily create enter a single Recurring Activity which then will appear at regular intervals in your Calendar. You can enter Recurring Activities from the Contact Main Menu.

OPTIONS

A recurring activity requires three special pieces ofinformation: a starting date, an ending date, and a frequency. With these three pieces of information Simple Accounting can then automatically create the required activities and properly place them in the calendar.

 

Fields

The following fields are identical to the fields in a regular Activity. See that topic for complete details on each of these fields.

ACTIVITY TYPE 

Select from a browse box of Activity Types to assign this activity. The default is the Default Activity Type set in User Options.

 

SUBJECT  

 

Enter a subject or topic for reference in the browse up to 40 Characters in length.

CONTACT TIME 

 

Enter the time the event has taken place, or is scheduled to begin, in 24:00 format.

ORDER ID  

Use this field to link this activity to a Sales Order, Vendor Bill, or Purchase Order.

 

ORGANIZATION 

Use the field lookup button to assign the Recurring Activity to a particular Contact.

 

COMPLETED?  

 

Check this box if the activity is immediately complete.

PRIORITY (0-3) 

Enter (1) for urgent activities and (3) for less urgent tasks.

 

AMOUNT  

 

This field allows you to enter a numeric or dollar value to this activity.

ATTACHMENT  

Enter the path for a single file to be sent as an attachment on an e-mail.

 

NOTES  

Enter up to 4096 characters (about one full single-spaced page) of free text.

 

These fields are unique to a Recurring Activity:

START DATE 

 

Enter the first date the Recurring Activity should occur in your calendar.

ENDING DATE 

Enter the last date that the Recurring Activity should occur in your calendar.

 

FREQUENCY 

The FREQUENCY field determines how often the activity will occur within the calendar of activities. When entering a recurring activity you can enter the following types of frequencies:

Daily, Weekly, Monthly, Quarterly, Yearly

 

FREQUENCY TYPE 

Additionally, you can specify that the activities occur either on a numeric date within the frequency using this field or on the same day of the week (Sunday, Monday, Tuesday, etc.) at the closest time. The following chart should help:

 Bi-Monthly Calendar Always on the 15th and 29th

 Bi-Monthly Day Every second Monday

 Monthly Calendar Always on 3rd of every month

 Monthly Day First Monday of every month

 Quarterly Calendar Always on 15 of every third month

 Quarterly  Day Always on 1st Tuesday of every third month

 Yearly Calendar Every January 10th of the year

 Yearly Day Second Wednesday of the year

 

Special Keystrokes

[Change]  

Edit/View the selected record. There are some special rules to keep in mind when editing recurring activities:

  • You may change the associated contact once it is entered. Doing so will attach all subsequent activities to the new contact but not activities that have already occurred, even if they have a follow up date that has not occurred.

  • You may change the frequency, start date, or end date. But doing so will only affect activities that have not yet occurred. So if you decide to change a weekly phone call, for example, to a monthly phone call, all phone calls after today will be properly rescheduled, but those already past are unaffected.

Add a new record from the browse box.

 

<Del>  

Delete an existing record from the browse. If you do this you will be asked to confirm your choice.

Deleting a Recurring Activity removes all associated activities from the Calendars from the today’s date forward, but not those that have already occurred.

Example: if you had scheduled a weekly appointment two months ago and now find that it is no longer necessary, the system would remove all associated appointments from today forward.
